Showing attendees how to participate (dial-in & web)

This feature is available for the new event site.
You can show each attendee a participation details section on the event page that tells them how to take part:
- their personal phone dial-in number (to call into the event), and
- web participation know-how (how to ask questions in chat, and — if enabled — how to raise their hand and speak live).
Before you start
The teleconference must be set up for the event. If it isn’t, none of the dial-in features below will do anything, and the Enable phone dial-in for all registrants toggle will be greyed out with a note explaining why.
The settings (Registration page)
You’ll find these on the Registration page in event admin.

Show participation details
Turns on the participation-details section described above. Use this when you want attendees to see how to join — by phone and on the web.

Enable phone dial-in for all registrants
Registers every person who registers for the event to the phone teleconference, so they each get a personal dial-in number — even if you’re not using participant profiling.

Participant profiling (alternative way to grant dial-in)
If you use profiling, attendees who choose a real-time profile (e.g. “Analyst”) get registered to the teleconference automatically — as long as Show participation details is also on. Attendees on watch-only profiles don’t get a dial-in number.
Who ends up with a phone dial-in number
An attendee gets a personal dial-in number when any of these is true (and the teleconference is set up):
- they picked a real-time profile and Show participation details is on, or
- Enable phone dial-in for all registrants is on (applies to everyone), or
- they registered through the dedicated dial-in page.
What attendees see
- Phone dial-in: a panel with the Conference ID, their personal User ID, the list of dial-in phone numbers, and the reminder to press #5 to join the question queue.
- Web participation: instructions for the event, plus:
- Chat — how to send questions (shown when chat is enabled), and
- Real-time participation — how to raise their hand and unmute to speak live (shown when real-time participation/talkback is enabled).
Good to know
Pre-event vs live: If you turn on only Enable phone dial-in for all registrants (without Show participation details or profiling), attendees will see their dial-in number once the event is live, but not on the pre-event waiting screen. If you want it visible before the event starts, also turn on Show participation details.
- No automatic email: Auto-registering everyone does not email them their dial-in number — they find it on the event page. Only people who register through the dedicated dial-in page receive a dial-in email (unless you’ve disabled that email).
- Recommended combo: For the smoothest experience — everyone can call in and the details are visible at all times — turn on both Enable phone dial-in for all registrants and Show participation details.
